Partner Organizations: Recruitment User Policies

Partner organizations recruiting at the University of Michigan (U-M) Rackham Graduate School (RGS) must adhere to the Equal Employment Opportunity (EEO) guidelines, the National Association of Colleges and Employers Principles of Professional Conduct for Employment Professionals http://www.naceweb.org/principles and the following guidelines included within the U-M RGS’s Recruitment Policy Statement.

Guidelines for Rackham Doctoral Intern Fellowship Program Interviews, Offers, and Deadlines

For each application cycle, RGS sets the deadlines for interviews and offers and communicates them to partner organizations via email. It is important that partner organizations follow this timeline and process to ensure RGS can process students’ fellowship awards ahead of the internship period.

Once partner organizations have reviewed application materials and interviewed candidates, they can make an offer directly to the student of their choice. Efforts should be made on the part of the partner organization to give students adequate time to fully consider their offer of a Doctoral Intern Fellowship before the students’ decision deadline. refrain from any practice that improperly influences and affects internship acceptances. Such practices may include undue time pressure for acceptance of internship offers and encouragement to revoke another internship offer. Partner organization staff will strive to communicate decisions and updates to candidates within the agreed-upon time frame. Likewise, students are advised to carefully evaluate offers before accepting and are strongly discouraged from reneging after acceptance.

Partner organizations need to inform RGS staff when a student accepts their doctoral intern fellowship offer so that RGS can send partner organizations their internship packet and initiate the student’s(s) fellowship award and orientation session with RGS staff.

Rescinding or Deferring Internship

Partner organizations needing to rescind a Doctoral Intern Fellowship offer should discuss it with RGS staff as soon as possible. Partner organizations that must revoke a commitment to hosting a Rackham Doctoral Intern Fellow should do everything possible to avoid rescinding offers and consider alternatives that do not require rescinding internship offers. These may include changes in internship responsibilities, delayed starting dates, reconfiguring internship project hours and scope in consultation with RGS staff, and other reasonable options.

Because the Rackham Doctoral Intern Fellowship Program follows an academic calendar tied to students’ time commitments, deferring a start date can pose challenges for students successfully completing their internship and for partner organizations in receiving deliverables. If a deferred start date is necessary, please communicate with RGS staff as soon as possible. Students are asked to make every effort to avoid reneging on job offers. We advise them to gather information, ask plenty of questions, anticipate other offers, determine their career goals and needs, meet with RGS Career Advisor, and/or request an extension on the deadline, all in an attempt to make an informed decision regarding an offer of employment. They are informed that once the commitment is made, reneging on an offer has an extremely negative impact. It tarnishes their reputation and also damages the reputation of Rackham Graduate School students. Building a campus presence, identifying suitable candidates, and participating in campus recruiting are time-consuming and expensive undertakings for partner organizations. We advise that students take any offer of a Doctoral Intern Fellowship seriously and plan to honor their commitments.

Partner Organization Access to Services

Partner organizations are required to use the Rackham Doctoral Intern Fellowship Application Portal, by 12twenty, to post and accept applications for the Rackham Doctoral Intern Fellowship positions they have created by invitation from and consultation with RGS staff. All Rackham Doctoral Intern Fellowship postings are activated by the RGS staff before they are viewable by students. The RGS maintains sole discretion regarding which opportunities and partner organizations may be presented to RGS students. In addition, the RGS reserves the right to refuse to activate a position if it does not align with our program goals or if it does not apply to students in RGS. All postings must contain sufficient detail to clearly convey the basic responsibilities and requirements of the position to the internship seeker.

We will not accept postings that limit access on the basis of protected identity characteristics, such as race, gender, gender identity, ethnicity, sexual orientation, religion, national origin, disability, age, economic status, or veteran status. To participate in career engagement opportunities, employers must complete specific request forms and comply with RGS guidelines.

Confidentiality Policy

Please note that the Family Education Rights and Privacy Act (FERPA) restricts employer use of student resumes. Organizations receiving such information may use it only for the purpose of evaluating candidates for a Rackham Doctoral Intern Fellowship position within their own organization. Thus, employers may not transmit (or re-disclose) student information to any other employer, partner, or third party, nor to others within the employing organization for something other than employment purposes without student consent.

Alcohol

Companies who fail to comply with the guidelines and policies may be excluded from future recruiting privileges at the Rackham Graduate School.

Professional and Academic Development is open Monday through Friday, 8:00 a.m. to 5:00 p.m.

The office is closed Saturdays and Sundays and on the following holidays: Thanksgiving (Thursday and the following Friday), Christmas through New Year’s, Memorial Day, Independence Day (July 4), and Labor Day.
